Sales & Shipping Co-ordinator


Companywide

Permanent, full time (35 hours / week), office based in Cambridge

Key Responsibilities:

Shipping
  • Manage of international shipping export and imports to EU & R.O.W. including:

  • Coordinate scheduling with internal sales and manufacturing teams.

  • Book air and road shipments.

  • Produce and & maintain export & import documentation in line with HMRC terms & legislation.

  • Liaise with customer shipping staff/agents.

  • Collate and log IPR and deferment documentation & quarterly returns.

  • Manage UK same day and overnight couriers.

  • Monitor incoming and outgoing shipments.

  • Minimise delays associated with customs clearances and documentation.

  • Act as point of contact with shipping and transport agents, including:

  • Negotiation and monitoring of commercial terms.

  • Claims.

  • Account reconciliation and input to internal accounting software (Sage Line 50 Accounts).

Sales & Administration
  • Sales Order Processing using internal accounting software (Sage Line 50 accounts) from receipt of customer order to despatch and invoicing.

  • General Administrator - answering phones, reception, distributing post and general office duties.

Skills, Knowledge & Experience Required:

  • Previous experience in Shipping or Import/Export Administration

  • Previous experience working in a busy, open-plan environment

  • Good organisation and planning skills.

  • Ability to deal with heavy workloads and time constraints.

  • Good telephone and interpersonal skills

  • Attention to detail and accuracy required.

  • Good knowledge of Microsoft Office.

  • Proven experience of Sage Line 50 would be an advantage.

  • Flexible team player with a can-do attitude and ability to use own initiative is essential

  • Ability to learn procedures/processes quickly.

You:

Essential

UK Import/Export knowledge

Knowledge of current Customs clearance requirements

Advantageous

Experience of Sage Line 50 Accounts and/or 123 Insight

Deferred and Postponed VAT on imports/exports
